Existing Contract Work Request (WREX) flow
From the CPD Admin portal, uses can access new WREX transactions via the Transactions WREX -> New view.
The WREX flow combines functionality from both the existing flows, allowing processors to
- first generate a document in the same way as they do in the DAC flow
- and then issue it to a team using the same process as they do in the WR flow.
WREX submissions will enter the system with a status of New, triggering an automated email to the configured email/mailbox for the WREX flow.
Note that this email/mailbox can be configured in the Static Data Manager (setting type: To Static Email Wrex); for more information, refer to your service Static Data page.
New submissions will be listed under the Transactions WREX -> New view.
The Export to CSV button can be accessed from both the New and Processed views for this flow.
Automated State changes
Action State WREX enters system New Processor generates document New (no change) Processor issues to team Processed (automatically changed by system) On each WREX, Admin users have the ability to:
- View the submission
- Add Comments
- Update Status
- Generate Document
- Issue to Team (only available after the document has been generated)
- View History
To generate a WREX as a word document
Click the Generate Doc action button to:
Create and download locally the details of the application into the current word document format. The admin can then save, edit, distribute the file as required.
Note: for any details not filled in by the applicant, the system will enter n/a.
The system will automatically
Display the Issue to Team button on the screen.
Record the action in the History.
There will be no change to the application's state.
A link to the doc will be available from its corresponding History entry by clicking on the paperclip icon.
Admin users maintain the ability to re-generate the document again regardless of the application's state. Each doc generated will have a unique filename and be recorded against the History.
Issuing a WREX to a Team
Click the Issue to Team action button to display the standard Issue to Team modal:
fill in all the mandatory information
and click the Update Application button to complete.
The system will then automatically:
- Update the application's state to 'Processed'.
- Trigger a notification to the team's configured email(s) with a link to the read-only WREX details page.
- Record the action in the History
Note: Admin users maintain the ability to Issue the WREX application to a team again if required.
Accessing WREX as the issued team
The team will receive an automated email containing a link.
- clicking the link will navigate the user to a page containing:
- A read-only view of the application
- Any comments added by the processor
- A Download Document button to download a copy of the generated document.
